The margin, markup, and margin rate do not measure the same thing, and confusing them distorts all the resulting pricing decisions. Once these definitions and their formulas are established, the real question becomes an operational one: how can you maintain an accurate view of your margin when it changes every week, product by product, rather than recalculating it once a quarter in a spreadsheet?
Confusing “margin” with “markup” can be costly—discreetly so, without ever appearing as an identified error in reporting. This guide sets out the definitions that matter for managing profitability—gross margin, markup rate, margin rate, multiplier, front-end margin, and back-end margin—along with their formulas and numerical examples, and then explains why managing products individually in a spreadsheet quickly reaches its limits as soon as the product assortment grows.

Three Ways to Say the Same Thing (and Why They Don't Mean the Same Thing)
For the same product, a management controller, a category manager, and a sales representative may cite three different figures when discussing the same profitability metric: a margin in euros, a brand rate as a percentage, and a multiplier. All three describe the same difference between what a product costs and what it brings in—but they are not calculated the same way, and they can never be directly compared without conversion.
This confusion is not just an accounting detail. It accounts for a significant portion of the profitability discrepancies that a retailer discovers too late—when two teams that thought they were working toward the same margin target were actually aiming for two different figures.
This is the profit margin for the retail sector in France in 2021, compared with 29.9% for all businesses in the non-agricultural and non-financial market sectors—a difference that shows just how much the scope and definition used can alter the figure, even before comparing it across different retailers (INSEE, Businesses in France, 2021 data).
Gross Margin and Net Margin: The Basic Calculation
Gross margin is the starting point for any profitability calculation: the difference between the pre-tax selling price and the pre-tax purchase cost. For an item purchased for €20 (excluding tax) and resold for €50 (excluding tax), the gross margin per unit is €30, representing a gross margin rate of 60% (30 / 50). Once overhead costs (logistics, personnel, rent) are deducted, what remains is the net margin —the actual profit generated.

Brand Rate vs. Margin Rate: The Confusion That Costs the Most
The markup rate expresses the margin as a percentage of the pre-tax selling price. The gross margin rate expresses it as a percentage of the pre-tax purchase cost. For the same margin in euros, the two percentages are never equal: the gross margin rate is always higher than the markup rate. In the previous example (margin of €30, selling price of €50, purchase cost of €20), the markup rate is 60%, while the margin rate is 150%.

When it comes to management, it’s important never to mix the two metrics in the same report: a target of “30% margin” set without specifying whether it refers to a brand rate or a profit margin can cover two radically different economic realities.
Margin = selling price − purchase price
The basic calculation, in euros. It says nothing about relative profitability unless it is compared to a benchmark.
Markup = margin / selling price
The standard French retail pricing convention, based on the price the customer sees.
Margin rate = margin / purchase cost
The concept of return on investment, which is more commonly used by suppliers.

The multiplier coefficient: a third interpretation of the same difference
The multiplier (or markup) expresses the same difference in a third form: Sales price (excluding tax) ÷ Purchase cost (excluding tax). In the previous example, the multiplier is 2.5 (50 / 20)—the sales price is 2.5 times the purchase cost.
This is the most commonly used method in certain industries (textiles, home decor) for quickly setting a price based on purchase cost, without having to calculate a percentage for each item: target retail price = purchase cost × markup factor. It’s convenient for speed, but it hides the same issue as a standalone markup rate: an identical coefficient applied to two categories may mask completely different volume and turnover challenges.
Front-end margin, back-end margin: The margin doesn't end with the receipt
All of the above is calculated based on the price displayed on the shelf—what is known as the front-end margin. But in mass retail, part of a product’s actual profitability lies elsewhere: in the commercial cooperation agreements negotiated with the supplier (year-end rebates, compensation for product placement, contributions to promotional campaigns)—the back-end margin. Following the 2008 Economic Modernization Act (LME), which made it easier to incorporate these pricing negotiations more directly into the retail price, the share of the back-end margin in retailers’ overall revenue has declined significantly compared to practices in the 2000s, though it has not disappeared entirely.

Why the margin calculated in a spreadsheet differs from reality
Calculating margin is simple in itself. What becomes difficult is keeping it accurate at scale: when a product assortment includes several thousand SKUs, when purchase costs fluctuate (supplier discounts, free shipping, purchase promotions), and when selling prices shift due to competitive adjustments, a spreadsheet frozen at a specific point in time quietly drifts out of sync with reality. A formula copied incorrectly onto a row, a purchase cost not updated after a renegotiation, a forgotten supplier discount: each of these errors, taken in isolation, seems minor. Multiplied by several thousand rows and recalculated by hand every month, they eventually lead to a lasting distortion of the true profitability of an entire category.
The problem isn't the competence of the teams handling these files: it's the very nature of a static calculation, which doesn't correct itself when source data changes upstream.

The sales margin is calculated by subtracting the pre-tax purchase cost from the pre-tax selling price: Margin = Pre-tax selling price − Pre-tax purchase cost. It can then be expressed as a markup rate (relative to the selling price) or a margin rate (relative to the purchase cost).
The markup rate expresses the margin as a percentage of the selling price excluding tax, while the margin rate expresses it as a percentage of the purchase cost excluding tax. For the same margin in euros, the margin rate is always higher than the markup rate—confusing the two in reporting skews any comparison.
Margin rate = Markup rate / (1 − Markup rate). For example, a markup rate of 40% corresponds to a margin rate of 66.7%. The inverse relationship is: Markup rate = Margin rate / (1 + Margin rate).
The markup ratio (or markup factor) is the ratio of the selling price (excluding tax) to the purchase cost (excluding tax). A ratio of 2.5 means that the product sells for 2.5 times its purchase cost—this is a third way of expressing the same difference as the margin or markup rate.
Most often, this is because the purchase cost recorded in the file does not reflect the latest supplier discounts, or because a formula copied across several thousand rows contains an error that goes unnoticed. A calculation fixed at a specific point in time automatically shifts as soon as source data changes upstream without a manual update.
The front margin is calculated based on the price displayed on the shelf (selling price minus the invoiced purchase cost). The back margin includes payments made separately by the supplier to the retailer (commercial cooperation, year-end rebates)—a portion of profitability that does not appear on the sales receipt.
